Marketing Coordinator

The Marketing Coordinator is a creative problem-solver who will collaborate, inspire, and manage the coordination of projects through various stages of technical discovery, creative development, and production. This new role at a rapidly growing biopharmaceutical company requires an entrepreneurial spirit and a drive to lead, create, and document procedure and engagement policy. This role requires exceptional time management skills, proactive communication abilities, and an understanding of project management approaches in a dynamic marketing department. The ideal candidate will be able work with a diverse team to effectively execute on the company branding through advertising, social media, events, data analytics, and sales promotions. This position reports to the Director of Marketing and will work onsite fulltime at our corporate headquarters in Ewing, NJ.


  • Create/manage the creative process by delivering, editing, and optimizing marketing materials
  • Manage and update promotional and resource materials to ensure they are supportive of and consistent with the marketing strategy at the product and corporate level
  • Maintain a directory and inventory of sales support materials, ensuring all resources are current and accurate
  • Use data and insights to design and develop marketing tools that support product goals
  • Design and create marketing materials such as brochures and case studies by writing copy and formatting content and graphics
  • Manage and advocate tactics/materials through a medical, legal, and regulatory review process by championing commercial objectives
  • Work collaboratively with medical, legal, and regulatory colleagues to produce marketing deliverables that exceed multi-departmental standards and expectations
  • Assist with sales presentations by gathering relevant resources including proposals, slide decks, videos, quotations, and other information as requested
  • Coordination with ad agencies and external vendors, including timeline and budget management


  • Assist in execution of trade show and event planning by identifying, assembling, and coordinating requirements, establishing contacts, onsite event management and support, developing schedules/assignments, and coordinating mailing lists
  • Manage and oversee event details such as shipping, catering, attendee transportation, location, invitee list, booth equipment, and promotional material


  • Proficiency using social media management tools
  • Manage our social media accounts by implementing strategies and tactics that grow our followers, engage and retain them, and help convert them into leads, customers, and raving fans and promoters of our company


  • Develop and maintain a monthly report based on the pending and upcoming project pipeline
  • Organize and distribute periodic sales reports and project files
  • Create, maintain and distribute commercial calendar for significant medical congresses, gene therapy, and commercial meetings
  • Maintain contract tracker for commercial department
  • Generate internal meeting agendas, take minutes, and follow-up on action items
  • Proactively identify opportunities to streamline processes for efficiency, and suggest alternative solutions when required due to timeline or budget constraints
  • Communicate potential issues and escalate before problem occurrence; collaborate with the project team to reach a viable solution
  • Ensure timely and accurate documentation of client communications and feedback to the internal team


  • Highly organized, proactive, methodical and process-driven, demonstrating a drive to improve internal processes whenever possible
  • Exhibits the ability to be creative and analytical, and be able to demonstrate why your ideas are analytically sound
  • Enthusiastic participation in inter- and intra-departmental communication
  • Proactive identification of opportunities for improvement and engagement
  • Proficient in Microsoft Office, particularly Excel
  • Able to juggle multiple projects simultaneously; act and carry out duties with a sense of urgency as needed
  • Other duties as required by business needs or as assigned


  • Bachelor’s degree in Business, Marketing, Communications, English, Journalism or a related field required
  • 1-3 years’ experience in a professional marketing position
  • Medical device, biotech, pharma company, or pharma agency experience (preferred)
  • Start-up company experience (preferred)
  • Commitment to working in a "roll up the sleeves" environment of a high-growth small company, without the resources of larger companies
  • Willing to learn new skills and assume new responsibilities.
